Bring your retail sales, stock and payment records together

Explore NexoPOS for your Singapore shop: organize products, manage stock and record cash, card and PayNow receipts. Build the GST and InvoiceNow checks into your setup decision.

Setup enquiries require sign-in. InvoiceNow transmission and automatic payment confirmation need separate verification.

Give your counter and stockroom a shared workflow

A neighborhood retailer needs to find products quickly, know what is available and understand the day’s takings. Start with your catalog, barcodes, returns and closing routine. Add restaurant or branch tools when those workflows are part of your business.

  • Use product and customer records during checkout.
  • Review sales and stock movements when handling a return.
  • Keep cash, terminal and externally confirmed PayNow payments distinct.
i Prepare your review: share your GST registration status and date, product categories, outlets, NexoPOS version, printer, payment provider and InvoiceNow deadline.

Set up GST and the price customers see

IRAS lists the current GST rate as 9%, with zero-rated and exempt treatment where the law permits. Confirm your registration status and each product’s treatment before configuring the catalog.

NexoPOS supports product tax assignment, tax groups and inclusive or exclusive pricing. Test the basket, discount and return against expected figures. For GST-registered retail price displays to the public, IRAS requires GST-inclusive pricing; review the specific guidance for your activity.

= Illustrative calculation: a correctly standard-rated item at S$109 including 9% GST contains S$100 net and S$9 GST. This is a setup check, not a decision about registration or classification.

Check receipts, tax invoices and corrections

IRAS distinguishes receipts for non-GST-registered customers from tax invoices for GST-registered customers. Simplified tax invoices may be used where the total including GST does not exceed S$1,000. Confirm the applicable document and its full particulars.

  • Check supplier details, GST number, issue date and the goods or services described.
  • Validate totals, GST presentation and any required customer information.
  • Test a correction or credit note as well as a normal sale.

IRAS requires issued and received tax invoices to be kept for at least five years. Plan a retrievable archive and restore test.

i Acceptance check: a default NexoPOS receipt has not been validated as a complete Singapore tax invoice. Check the required fields and printed format on your installation; template or external invoicing work may be needed.

Establish your InvoiceNow date before choosing the workflow

IRAS applies the requirement to businesses applying for voluntary GST registration from 1 April 2026. Remaining cohorts are phased from April 2028 to April 2031, with exclusions and business-specific dates. Check your IRAS notification and the current applicability guidance.

InvoiceNow uses the Peppol network. IRAS describes using an InvoiceNow-Ready Solution or connecting an in-house system through an IMDA-accredited Access Point, then activating GST invoice-data submission.

i Integration status: NexoPOS has not been verified as an accredited InvoiceNow-Ready Solution or as having a production-ready InvoiceNow connector. Tax groups and printed receipts do not transmit data to IRAS.

Agree which system sends and receives structured invoices, how POS data is mapped, and how corrections, failed submissions and reconciliation are handled. Validate any integration end to end before relying on it.

Record PayNow alongside cash and card payments

PayNow Corporate lets participating entities receive Singapore-dollar funds through their linked UEN. Registration and payment acceptance remain with your participating bank or payment institution; the POS recording step is separate.

  1. Create and activate a PayNow payment type under Orders → Payment Types.
  2. Use your provider’s merchant payment workflow and confirm receipt through the provider.
  3. Record the confirmed amount against the NexoPOS order.
  4. Compare recorded receipts, provider transactions and refunds during closing.
i Example: record an S$109 sale as S$80 PayNow and S$29 cash once both amounts are received. Recording the PayNow amount does not confirm or collect the funds.

A custom payment label does not generate a provider-approved SGQR, initiate payment, receive confirmation webhooks or match settlements automatically. Those functions need a compatible provider integration.

Add extensions when a task needs them

Start with your checkout and stock workflow, then choose modules for the work your team actually does. Confirm installed-core compatibility, hardware, current prices and license scope on each product page.

Bring your opening catalog with you

Bulk Importer supports CSV imports for products, customers and procurements. Validate a small sample and opening stock before importing the whole catalog.

Make barcode and stock work easier

Barcode Utility is a mobile companion for scanning and inventory tasks. Confirm current app availability, device pairing and compatibility before purchase.

Run separate store operations

Multistore provides isolated stores within one installation. Agree branch ownership, stock movements and reporting; a shared catalog or consolidated tax return is not assumed.

Connect compatible receipt printers

NPS Adapter connects to the separate Nexo Print Server application. Plan for both licenses, a Windows host and an actual printer test. Printing a document does not establish its fiscal validity.

Extend a café or restaurant workflow

Gastro adds tables and kitchen workflows. Consider Raw Material Tracker for ingredients and QR Menu for a digital menu after checking the complete stack.

For a café, review service flow and the final bill

Gastro can add table and kitchen workflows, while ingredient and digital-menu modules address different tasks. Check the ordering path, staff roles, printer routing and handling of cancelled items.

Have your accountant validate any service-charge and GST treatment, price displays, discounts and rounding. An operational restaurant extension does not by itself validate the tax document or InvoiceNow handoff.

Agree the accounting and record-keeping handoff

Define how your accountant receives sales, tax, purchase and correction records, and how provider settlements are reconciled. Keep responsibilities clear if NexoPOS, an accounting tool and an InvoiceNow provider form one workflow.

  • Identify the source of truth for each invoice and avoid duplicate issuance.
  • Test a sale, refund and correction across all connected systems.
  • Retain readable records and test restoring the archive.

A direct GST return-filing workflow has not been verified here. A separate provider does not become integrated merely because the same totals are typed into both systems.

Plan the full setup, from devices to daily closing

The open-source core can be self-hosted. Budget for hosting or a local server, backups, updates, devices, paid extensions and any setup assistance. Payment-provider fees, accounting tools and custom integration work are separate items to agree.

  • Run a sample sale, discount, mixed payment and return with the real devices.
  • Compare stock movements, customer documents and provider settlements.
  • Agree how your accountant receives sales, tax and correction records.
  • Test a backup restore and the recovery process after a network or power failure.

Local installation does not establish offline access to cloud services or automatic synchronization with payment or authority systems.

Questions to settle before choosing

Accredited status and a tested InvoiceNow connector have not been verified. Review your applicable date, selected provider and integration scope before relying on the setup.

NexoPOS supports configurable product taxes and inclusive or exclusive pricing. Confirm the correct treatment and test the displayed and printed amounts.

No. Printing or emailing a document does not demonstrate structured invoice exchange or transmission to IRAS. Test the chosen provider workflow separately.

Check your Singapore setup before buying extensions

Share what you sell, your tax registration status, number of stores, NexoPOS version and device models. Include the customer documents and accounting handoff you need so the configuration and any integration work can be assessed.

Sign in to create a support request and use “Singapore setup review” as the subject. Feasibility, delivery scope and any assistance costs must be agreed before work starts.
