NexoPOS in Kenya

Run your shop with a clearer view of sales, stock and payments

Explore NexoPOS for your Kenyan retail business: organize products, record cash and mobile-money payments, and choose extensions as you grow. Understand the VAT and eTIMS questions to resolve before going live.

Setup enquiries require sign-in. M-Pesa recording is configurable; automatic collection and eTIMS integration need separate verification.

A practical fit starts with your daily workflow

A small shop needs a reliable sale and a correct stock balance. A growing retailer may also need imports, separate branch operations and controlled printing. Start with the workflow you use today, then add the modules that solve a specific problem.

  • Sell barcoded products and review stock movements.
  • Keep customer records and handle returns against the original sale.
  • Record payments under clear methods so your team can reconcile the day.
✓ Check these before choosing: your NexoPOS version, tax registration, product tax categories, payment providers, printer model, number of locations and required eTIMS workflow.

Record M-Pesa payments alongside cash

Create a custom payment type labelled M-Pesa so cashiers can record money received through your existing merchant payment channel. The label organizes the payment record; your team must still confirm receipt through the provider before marking it paid.

  1. Open Orders → Payment Types and create an active M-Pesa payment type.
  2. Complete the payment through your normal merchant channel and confirm receipt.
  3. Select M-Pesa at checkout and enter the confirmed amount. For a mixed payment, record each amount under its own method.
  4. Match recorded payments to the provider statement at closing; investigate differences and handle provider refunds separately.
↔ Illustrative sale: KES 800 received through M-Pesa plus KES 360 cash settles a KES 1,160 order. Recording KES 800 does not itself prove the provider received it.

STK Push, payment callbacks, automatic confirmation and transaction-reference capture require a dedicated integration. A ready-to-install NexoPOS M-Pesa connector has not been verified for this setup.

Configure product taxes and check the receipt

NexoPOS supports tax groups, product-specific tax assignment and tax-inclusive or tax-exclusive prices. For a mixed catalog, agree each product’s treatment with your accountant and test how the selected configuration behaves.

KRA lists a general VAT rate of 16% and a zero rate for specified supplies. Exempt supplies are a separate category. Confirm your registration and product classification before setting rates; a zero numerical tax amount alone does not distinguish zero-rated from exempt supplies.

= Tax-inclusive example: assuming an item is subject to 16% VAT, a KES 1,160 selling price contains KES 1,000 net value and KES 160 VAT. Use this as a configuration test, not as a tax classification for every product.

Resolve eTIMS before your first live sale

KRA’s guidance generally requires people carrying on business to onboard eTIMS and issue electronic tax invoices, including businesses outside VAT registration. Eligibility, exceptions and buyer-initiated invoicing arrangements need to be checked for your circumstances.

i Current product boundary: this page does not establish that NexoPOS is KRA-approved or that it transmits invoices to eTIMS. Tax calculation and ordinary receipt printing do not provide that capability. A compatible eTIMS connector has not been verified.

KRA offers different invoicing solutions. Its system-to-system routes use OSCU or VSCU and involve a certification process for self-integrators or third-party vendors. Choose a suitable authorized workflow and confirm how sales, stock and corrections will stay consistent with NexoPOS.

  1. Confirm the solution and eligibility with KRA or your tax adviser.
  2. Map products, tax classifications, invoice identifiers and correction handling.
  3. Test a sale, credit note, failed submission and reconciliation before launch.

Choose extensions around the work you do

Begin with the smallest useful setup. These are documented ecosystem options; each must match your selected NexoPOS version and hardware. Current prices and licensing are shown on the product pages.

Bring your existing catalog

Bulk Importer supports CSV imports for products, customers and procurements. Test a sample file and check compatibility with your installed core before migrating the full catalog.

Scan and check stock from a mobile device

Barcode Utility is a mobile companion for barcode scanning and inventory work. Confirm current app availability, pairing and compatibility before choosing your devices.

Keep branch operations separate

Multistore provides separate stores in one installation. Products, customers and orders are isolated by store; agree any shared-catalog or reporting needs before purchase.

Plan your receipt-printing setup

NPS Adapter connects NexoPOS to the separate Nexo Print Server application. Confirm both licenses, a compatible Windows host and your printer model. Printing does not provide eTIMS authorization.

Add restaurant workflows when you need them

Gastro adds restaurant tables and kitchen workflows. For a café or food counter, assess Gastro first; consider Raw Material Tracker for ingredients and QR Menu for a digital menu after compatibility review.

For food businesses: Raw Material Tracker · QR Menu. For printing: Nexo Print Server.

i Moving stock between branches? Assess Stock Transfers separately. Its latest public listing is version 5.2.1, so compatibility with your intended NexoPOS 6.x setup needs confirmation before purchase.

Plan the complete setup cost

The open-source NexoPOS core can be self-hosted. Budget separately for hosting or a local server, maintenance, backups, staff setup, compatible devices and any paid extensions. Payment-provider fees and fiscal-integration work are additional items to confirm.

  • A reliable computer or supported deployment host, plus a tested backup and restore process.
  • A supported barcode scanner or verified mobile companion, and a printer tested with your actual receipt layout.
  • A written module and version list, with license terms checked on each product page.
  • An agreed payment reconciliation and eTIMS process, with named responsibility for exceptions.

A local installation and an offline-ready workflow are different questions. Test what happens when the internet or power fails, particularly for cloud access, payment confirmation and fiscal invoicing.

Questions Kenyan businesses ask before choosing

No. A custom payment type records the method and amount. Provider confirmation, STK Push and automatic matching require a separate integration.

Do not assume that it does. Establish a suitable eTIMS solution and verify the relationship between the operational sale and the fiscal invoice before launch.

Tax groups and product-level tax configuration are documented. Your accountant should confirm the classifications, and you should test calculations, rounding and the required invoice output.

Check your Kenya setup before you commit

Tell us what you sell, how customers pay and which invoicing workflow you need. Include your NexoPOS version, branch count and printer model so we can assess the relevant configuration and extensions.

Sign in to create a support request. Include “Kenya setup review” in the subject. Integration feasibility, scope and any assistance costs need to be agreed before work starts.

Guidance and product references

Requirements depend on your business and can change. Confirm your applicable tax and invoicing obligations with KRA or your tax adviser before using a configuration for live sales.
