Retail in Ireland

Keep your shop moving, from checkout to stock control

Run everyday retail sales, organize your catalog and keep payment records together. Explore how NexoPOS fits an Irish shop, then validate VAT documents and the accounting handoff before launch.

Setup enquiries require sign-in. Revenue reporting, structured e-invoicing and automatic terminal confirmation need separate verification.

Build around the way your Irish shop trades

A neighborhood grocery, fashion shop and café share a need for accurate stock and clear daily takings. NexoPOS gives you a place to manage products, barcode-based sales, customer records and returns. Choose the workflow before adding extensions.

  • Check a product at the counter and review its stock movements.
  • Keep a sales history for customer service and returns.
  • Record cash and externally confirmed card payments separately.
i Bring to your setup review: your VAT status, product categories, B2C/B2B sales mix, branches, printer and payment provider.

Configure VAT by product, then test the basket

NexoPOS documents tax groups, product tax assignment and inclusive or exclusive pricing. Map the treatments confirmed by your accountant to your catalog. A mixed-product shop should test items separately and together, including discounts and returns.

= Illustrative calculation: for an item correctly subject to 23% VAT, a €123 inclusive price consists of €100 net and €23 VAT. This checks a calculation; it does not classify your product.

Have your accountant confirm current rates, exemptions and any special scheme. Do not treat a zero-rate label as interchangeable with an exemption, or assume the POS determines the correct treatment automatically.

Match customer documents to the transaction

Review whether a full VAT invoice or another permitted document is needed. Revenue’s invoice guidance calls for sequential identification, supplier VAT details, relevant customer information, supply descriptions and dates, and a breakdown of taxable values and VAT.

  • Check seller and customer details against the required document type.
  • Verify numbering, supply date, discounts and amounts for each applicable rate.
  • Review any reverse-charge, intra-Community or special-scheme wording separately.

Revenue permits simplified invoices in specified cases, including amounts not greater than €100, with exclusions such as intra-Community supplies. Confirm eligibility rather than treating every till receipt as a VAT invoice.

i Acceptance check: the selected NexoPOS version and printed template still need to be checked for every required field and numbering rule. Additional fields, template work or an external invoicing workflow may be needed.

Connect a return to its payment and VAT correction

Plan the complete return: goods coming back into stock, the customer refund and the accounting correction. A change to a POS order should not be assumed to create a valid VAT credit note or refund money through your payment provider.

Revenue’s credit-note guidance includes a reference to the original invoice, the correction reason and the amended values and VAT. Test the document your customer and accountant will receive.

Keep the 2028 e-invoicing roadmap in your plan

Revenue’s 22 October 2026 update describes a phased rollout: domestic B2B issuing and reporting for VAT-registered large corporates from 1 November 2028, a further cohort from November 2029, and EU cross-border requirements from July 2030. It also describes receipt capability for all Irish businesses from November 2028.

The update states that the Finance Bill provisions are subject to the legislative process and supporting regulations remain draft. Use the current Revenue timeline to establish which phase affects your business.

i Integration status: a NexoPOS structured e-invoicing or Revenue digital-reporting connector has not been verified. A PDF receipt is not a tested structured-invoice exchange. Agree the provider, data mapping and correction handling before relying on an integration.

Keep cash and card takings easy to reconcile

Continue using your chosen card terminal and record confirmed payments in NexoPOS under a clear payment type. This lets the order show how the customer paid while the provider remains the source for authorization and settlement.

  1. Create and activate the payment types your staff will use under Orders → Payment Types.
  2. Confirm a terminal payment through the provider before recording it.
  3. Enter each amount separately for a mixed cash-and-card sale.
  4. At closing, compare POS totals with counted cash, refunds and the provider statement.
i Example: a €123 sale can be recorded as €100 by card and €23 cash after both amounts are received. Provider fees and settlement timing should be reconciled separately.

A custom Card label does not operate a terminal, send a refund or integrate Apple Pay or Google Pay. Confirm any automatic provider integration for the exact stack.

Add extensions when a task needs them

Start with your checkout and stock workflow, then choose modules for the work your team actually does. Confirm installed-core compatibility, hardware, current prices and license scope on each product page.

Bring your opening catalog with you

Bulk Importer supports CSV imports for products, customers and procurements. Validate a small sample and opening stock before importing the whole catalog.

Make barcode and stock work easier

Barcode Utility is a mobile companion for scanning and inventory tasks. Confirm current app availability, device pairing and compatibility before purchase.

Run separate store operations

Multistore provides isolated stores within one installation. Agree branch ownership, stock movements and reporting; a shared catalog or consolidated tax return is not assumed.

Connect compatible receipt printers

NPS Adapter connects to the separate Nexo Print Server application. Plan for both licenses, a Windows host and an actual printer test. Printing a document does not establish its fiscal validity.

Extend a café or restaurant workflow

Gastro adds tables and kitchen workflows. Consider Raw Material Tracker for ingredients and QR Menu for a digital menu after checking the complete stack.

Keep records usable after the sale

Revenue’s general business guidance requires records to be retained for six years. Confirm any longer or special retention obligations for your circumstances. Keep an archive that your accountant can access and that can be restored after a device or hosting failure.

  • Agree the sales and tax information needed for your accounting process.
  • Keep corrections and supporting documents linked to their original transactions.
  • Check access to records if you change hosting or stop using an extension.

A verified NexoPOS workflow for filing Irish VAT returns or automatically reconciling an accounting package is not established here. Define that handoff before launch.

Plan the full setup, from devices to daily closing

The open-source core can be self-hosted. Budget for hosting or a local server, backups, updates, devices, paid extensions and any setup assistance. Payment-provider fees, accounting tools and custom integration work are separate items to agree.

  • Run a sample sale, discount, mixed payment and return with the real devices.
  • Compare stock movements, customer documents and provider settlements.
  • Agree how your accountant receives sales, tax and correction records.
  • Test a backup restore and the recovery process after a network or power failure.

Local installation does not establish offline access to cloud services or automatic synchronization with payment or authority systems.

Questions to settle before choosing

Tax groups help calculate sales tax. You still need to check document fields, numbering, product treatment, credit notes and any special rules for the installed version.

You can record externally confirmed card payments under a payment type. Automatic communication with the terminal and provider refunds need a compatible integration.

A verified Irish VAT filing workflow is not established here. Agree how your accountant receives and reconciles the records.

Check your Ireland setup before buying extensions

Share what you sell, your tax registration status, number of stores, NexoPOS version and device models. Include the customer documents and accounting handoff you need so the configuration and any integration work can be assessed.

Sign in to create a support request and use “Ireland setup review” as the subject. Feasibility, delivery scope and any assistance costs must be agreed before work starts.

Guidance and product references

Use the authority guidance and your accountant to confirm the requirements for your business. Product and integration suitability require acceptance checks on the selected installation.
